The CRM gets cleaned every Sunday night, while you sleep

Every CRM decays. Duplicates pile up, fields go empty, and deals that died in March still show as open in September. Then someone runs a report and nobody trusts the numbers.

Your Squad teammate does the janitorial work weekly, on a Sunday-night schedule you can see and pause. It merges duplicates by your rules, fills empty fields from sources it can cite, and closes deals past your silence threshold with a note. Where a fill needs research, it reads the company's site in its own browser rather than guessing.

Nothing changes silently. The Monday summary lists every merge, fill, and close, and reopening anything is one click.

How it runs
01
Set the definitions

What counts as a duplicate, which fields are required, and when a silent deal is dead. Your rules, written once into its notes.

02
It sweeps on Sunday at 9:00 PM

Duplicates merge with the survivor chosen by your rules. The run timeline records every merge with both originals.

03
Gaps get filled with sources

Empty fields fill from the company site, your email history, and public data. Every fill carries its source; unknowns get flagged, not guessed.

04
Stale deals close with notes

Deals past your threshold close with the reason and the last-touch date. The weekly change log lists them for review.

05
Monday opens trustworthy

The summary lands in your channel: merges, fills, closes, and anything held for your call as a ticket.

CRM SWEEP — Sunday 9:00 PM

Merged 14 duplicates (survivors by newest activity).
Filled 32 empty fields — 29 sourced from company sites,
3 flagged unknown.
Closed 9 stale deals (no touch in 60+ days), notes attached.

Held for you: 'Acme Corp' and 'ACME Inc.' share a domain but
have different owners and open deals. Merge needs a human call.

Your first month
Day 0

You set the definitions: duplicate, required, dead.

Day 1

The backlog sweep is big and fully logged: 60 merges, 200 fills, 40 closes. You spot-check ten. All hold.

Week 1

The Sunday sweep is routine: a dozen changes, one held merge. Reports run clean for the first time in a year.

Month 1

Nobody prefixes CRM numbers with 'roughly' anymore. New records arrive clean because lead research files them right.
